The Request for Proposals (RFP) Sourcing Specialist role is part of our corporate team and will work closely with all internal clients who support these Business Units.

About the role:

As an RFP Sourcing Specialist, the main part of your role is to partner with key members of each Business Unit to understand their interests, source for new RFPs as well as track and distribute the sales opportunities from Public and Private Sector sites. You will also maintain registration and site memberships, databases, reporting and opportunity submissions. You will need to build strong relationships with our Business Units, have strong communication skills, excellent time management and a great sense in prioritizing tasks. You will also need to be curious and resourceful. Being highly comfortable with Microsoft suite, as well as prior experience with platforms and knowledge of various procurement sites such as Ariba and Buy & Sell, will also help you in this role.

Your Day-to-Day Responsibilities:

  • Coordinate all the collection of submissions for bids submitted directly from all Business Units, update win/loss reports, copy and file the submissions

  • Monitoring procurement sites such as Ariba, Buy & Sell, Merx, Biddingo, etc. for opportunities

  • Distribution of the opportunities via daily communications to the Business Units

  • Ordering/downloading and distribution of RFP documentation and associated amendments using Calian's proprietary database

  • Monitor email in-box and ensure distribution of information contained therein

  • Maintain access to Information by tracking requests, status and generating reports

  • Collaborate with Contract Administration to align proposal responses with contracts

  • General Administrative duties including but not limited to, filing, archiving, report maintenance, etc.

  • Provide back-up to other team members as needed

  • Other related duties as required

The Skills and Experience You Have:

  • Post-secondary education or equivalent experience

  • 2+ years of experience performing administrative duties

  • Must be fluent in MS Office (Word, Excel, Outlook etc.)

  • Excellent organizational skills with strong attention to detail

  • Proven ability to work within a team environment

  • Strong interpersonal skills

  • Ability to work independently, while prioritizing and managing own schedule to meet deadlines

  • Strong work ethic and positive attitude

  • Flexibility to work overtime

  • Experience with MS Teams, PowerBI and SharePoint would be an asset
